Medicines & cold chain

Medicines in your warehouse, with a record of every step.

Switch on Medicines mode for regulated products and clients only. Everything else in your warehouse keeps working as before.

A full record, always ready

Every change to every record, with who, when, why and the old value, downloadable to Excel.

Nothing ships unreleased

New and returned batches stay blocked until the right person signs.

Excursions act by themselves

A reading out of range holds the batches that were there, at once.

Only the right people get in

Emailed codes, idle locks, PIN on phones and access reviews.

Medicines mode

The controls GDP work needs, built into the everyday screens

Audit trail on every record

Who, when, from where, old value and new value. Deleted records keep every last value. Download it to Excel for an inspection.

Electronic signatures

The signer types their password again and picks a meaning: released, rejected, back to stock, to be destroyed. Only named people may sign.

Release before use

New batches can be put away but stay blocked until a signed release. Returned medicine waits in quarantine.

Reasons for changes

Changing an important field or deleting a record asks why, and the answer is kept with the change.

Stricter sign-in

Emailed code for everyone, idle lock, PIN on phones, password history, unused accounts switched off, access review every three months.

Batches, expiry, serials

First-to-expire picking, serial numbers per unit, and every unit traceable to the order it left on.

Batches and serials

Find every unit of a batch in minutes

Every movement keeps its batch, expiry date and serial numbers, from receipt to the customer's door. One search shows where a batch is now and which orders it left on, so a block or a recall starts with the full list.

Temperature monitoring

Readings that act on your stock

Rooms, fridges, freezers and trucks with their ranges. Workers scan the place and type the value on a phone, or upload a logger file. A missed reading sends a reminder; a reading out of range holds the batches that were there. Thermometers keep their calibration dates, and the transport logger is checked at receiving.

Messages

Talk to clients and suppliers with the record attached

Questions about a batch, a hold or a delivery go into the Messenger next to the order or shipment, not into someone's inbox. Clients answer damage reports in their portal; suppliers answer on their own page.

  • Conversations kept with the order or shipment
  • Files and photos in the conversation
  • Read marks show who has seen it
  • Your team answers from the office or a phone

Getting started

Up and running without a project team

1

Look around with sample data

Open the app with a ready-made story — clients, orders, trucks and invoices — to see how a day works.

2

Follow the getting started list

Main currency, time zone, your warehouse and its cells, labels, people: the list shows what is done and what is next.

3

Bring your goods in from Excel

Upload goods and packing lists from your own spreadsheets; you see a preview before anything is saved.

4

Invite your people

Office staff, warehouse workers, drivers, clients and suppliers each get their own screens in their own language.

Questions

What people ask before they start

Does Medicines mode change anything for our other clients?

No. It applies only to products and clients you mark as medicine; everything else works as before.

Who may sign a release?

Admins and the people you allow. The signer types their password again and chooses what the signature means.

How are temperatures recorded?

Workers scan the place and type the reading on a phone, or you upload logger files; missed readings send reminders.

Can we export the change history?

Yes. The audit trail and the sign-in history download to Excel with the filters you chose.
